Electronic attendance register: how a learning center can drop the paper journal
How to take attendance from a phone, notify parents right away and spot students who have started skipping classes before they leave.
Attendance is the simplest data in a learning center and also the most overlooked. The paper register lives in the teacher's bag and by the end of the month it is lost or left blank. The director only finds out a student has left when the payments stop.
Electronic attendance solves this: the register takes a minute, and the data reaches the director and the parents right away.
Why attendance matters so much
Attendance is more than "who came today". It shows three important things:
- A student is about to leave. Someone who skips two or three classes in a row often doesn't pay the next month. Spot it early and you can call to find out why.
- A group has a problem. If a whole group's attendance drops, the cause may be the timetable, the teacher or lessons that have become dull.
- Parents' trust. A parent who learns the same day that their child skipped class trusts the center more.
What's wrong with a paper register
- There is one copy, and only the teacher has it.
- The director can't compare groups.
- Parents know nothing.
- Collecting and counting registers at the end of the month takes time.
- It is hard to tell lateness from an excused absence.
How electronic attendance should work
For teachers: a one-minute register
The teacher opens the group on their phone. The teacher marks only who is missing or late, and sets everyone else to "present" with one button. Four statuses are enough:
- Present
- Late
- Excused (illness, told in advance)
- Absent
If the timetable is in the system, today's classes appear on their own, so there is no need to look for the group.
For parents: an instant message
If a student is absent without a reason, the parent gets a message on Telegram: "Aziz did not come to English class today." Often that one message prevents the next absences.
For the director: the big picture
On the home page the director sees today's attendance, the rate by group and the students whose attendance has dropped. The monthly register opens in one click.
For students: their own history
Students see in their account which classes they attended and which they missed. It makes them more responsible.
Excused absences and fees
The most common question: are excused absences refunded? That is the center's decision, but the rule must be written down in advance and the same for everyone. Many centers with monthly fees do not refund, since the seat and the teacher are booked anyway. What matters is that correctly recorded attendance becomes evidence in any dispute.
Five tips for rolling it out
- Give teachers a 10-minute walkthrough. Showing it once on a phone is enough.
- Check every day in the first week. See who hasn't taken the register and remind them.
- Connect parents to Telegram from day one. Hand out the link at enrollment.
- Call students with falling attendance once a week. It is the cheapest way to keep a student.
- Drop paper completely after a month. Two parallel systems don't last.
Calling a student who has skipped two classes in a row is far cheaper than finding a new one.
